Privacy Policy
How we collect, use, share, and protect your information.
1. Introduction
HRGC Sessions LLC (“we,” “us,” or “our”) respects your privacy. This Privacy Policy explains what personal information we collect through https://www.hrgcsessions.com, our booking platform, and our session-based services, how we use and share it, and the choices and rights you have. By using the Site or contacting us, you agree to this Policy.
2. Information we collect
Information you give us. When you submit our contact form, book a session, email us, or engage our services, we collect details such as your name, employer or organization, job role, email address, phone number, the session topic or type of guidance you’re interested in, your scheduling preferences, and the contents of your message.
Session information. To schedule and conduct a session, we may collect information about your organization and the people who attend — such as names, roles, business contact details, and the business, technology, operational, and other information you choose to share before or during a session so that a specialist can prepare for it and produce your session notes, action items, and recommendations. Where your organization shares another person’s details with us, it is responsible for having a lawful basis to do so.
Payment information. When you pay online, payment-card details are collected and processed directly by our payment processor, Stripe, Inc. We do not receive or store full card numbers. We may retain limited transaction records (such as amount, date, and the last four digits) for accounting.
Information collected automatically. Like most websites, we (and our hosting, scheduling, and analytics providers) may collect technical data such as IP address, browser type, pages viewed, and referring URLs through cookies and similar technologies.
Client session data. In connection with a session we may process business and other information on behalf of your organization. We handle that data under our agreement with you and as a service provider/processor on your behalf.
3. How we use your information
- To respond to inquiries and provide quotes, proposals, and session-based services;
- To schedule, confirm, and conduct sessions, and to prepare session notes, action items, and recommendations;
- To process payments and maintain accounting and tax records;
- To communicate with you about your booking or session, including SMS where you have opted in;
- To operate, secure, and improve the Site and booking platform;
- To comply with legal, regulatory, and KYC/KYB obligations of our banking and payment partners; and
- To protect our rights and prevent fraud or abuse.
4. SMS / text messaging privacy
We do not sell or share your mobile phone number or SMS consent with third parties or affiliates for their own marketing or promotional purposes. Mobile opt-in information is used only to send you the messages you requested from HRGC Sessions LLC.
We send text messages only to individuals who provide prior express consent (for example, by checking an opt-in box on our contact form). Transactional texts and marketing texts use separate opt-ins, and marketing texts are sent only to numbers that checked that separate box. Message frequency varies; message and data rates may apply. 5. Cookies and analytics
We use strictly necessary cookies to operate the Site and booking platform and may use privacy-respecting analytics to understand aggregate usage. You can control cookies through your browser settings; disabling some cookies may affect Site functionality. We honor recognized opt-out signals where required by law.
6. How we share information
We do not sell your personal information. We share it only as follows:
- Service providers who help us operate — for example, Stripe (payments), scheduling and video-conferencing tools, cloud hosting and collaboration tools, and email providers — under contracts that limit their use of the data;
- Specialists conducting your session, who receive the information needed to prepare for and deliver it, under confidentiality obligations;
- Legal and safety — when required by law, subpoena, or to protect rights, property, or safety;
- Business transfers — in connection with a merger, acquisition, or sale of assets, subject to this Policy.
7. Data retention
We keep personal information only as long as necessary for the purposes described here, including to provide services, maintain business and tax records, resolve disputes, and comply with legal obligations. As an indication, accounting and tax records are typically retained for seven (7) years where required by law, and inquiry or contact messages that do not result in a booking are generally deleted within twenty-four (24) months. When information is no longer needed, we delete or anonymize it.
8. How we protect information
We use administrative, technical, and physical safeguards appropriate to the sensitivity of the data, including encryption in transit (HTTPS/TLS), least-privilege access controls, and confidentiality obligations on our team and specialists. No method of transmission or storage is completely secure, but we work to protect your information and to notify affected parties of incidents without undue delay and within the timeframes required by applicable law.
9. Your privacy rights
U.S. state rights (including California / CCPA). Depending on where you live, you may have the right to know what personal information we collect, to access or delete it, to correct it, and to opt out of “sale” or “sharing” (we do not sell or share personal information for cross-context behavioral advertising). We will not discriminate against you for exercising these rights.
For CCPA purposes, the categories of personal information we collect are: identifiers (such as name, employer, job role, email, and phone number); professional or employment-related information (such as your role and organization and the business context you share with us); commercial information (such as sessions or services inquired about or purchased and transaction records); and internet or other electronic network activity (such as site usage and device data). We disclose these categories only to the service providers and specialists described above, for the business purposes described above. You may submit a request yourself or through an authorized agent acting on your behalf.
EU/UK rights (GDPR). If the GDPR applies, you may have the right to access, rectify, erase, restrict, or object to processing, to data portability, and to withdraw consent at any time, as well as to lodge a complaint with a supervisory authority. Our legal bases include your consent, performance of a contract, our legitimate interests, and compliance with legal obligations.

10. International users
We are based in the United States and process information there. If you access the Site from outside the U.S., you understand your information may be transferred to and processed in the U.S., where data-protection laws may differ from those in your country.
11. Children’s privacy
The Site and Services are intended for businesses and adults aged 18 and over. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us information, contact us and we will delete it.
12. Changes to this Policy
We may update this Policy from time to time. The “Last updated” date reflects the current version. Material changes will be posted here and, where appropriate, communicated to you.
